Are you a highly organized, detail-driven professional who thrives in a fast-paced environment? We’re
seeking a Broker Support Specialist to join our commercial real estate team and provide critical support
throughout the deal lifecycle from listing to close and everything in between.
In this role, you’ll support multiple brokers by managing transaction files, coordinating listing activity,
preparing marketing materials, and keeping our office running smoothly. You'll be a key part of the team that drives success in business sales, tenant representation, and commercial investments.

Daily Responsibilities Include (but are not limited to):
- Coordinate transaction files and documentation from listing through closing
- Input listings and updates across platforms like CBA, LoopNet, Crexi, and BizBuySell
- Schedule photographers, signage installations, and other vendors for listing prep
- Maintain digital file systems (Dropbox, Paperless Pipeline) and ensure audit-ready compliance
- Prepare polished client deliverables: listing packets, marketing brochures, and closing documents
- Respond to listing inquiries and manage NDAs for sensitive transactions
- Track deal progress and assist with status reporting for weekly team meetings
- Manage daily office functions: answering phones, greeting clients, and restocking supplies
- Coordinate timelines, reminders, and communications throughout the escrow process
- Update and manage CRM entries, assigning leads and maintaining accuracy
Qualifications:
- 1+ years of experience in a fast-paced, multi-tasking administrative or support role
- Solid knowledge of Microsoft Office 365 (Word, Excel), Google Suite, and Adobe
- Comfortable with Dropbox, CRMs, and digital workflow tools (Paperless Pipeline a plus)
- Excellent attention to detail and organizational skills
- Strong verbal and written communication
- Professional, dependable, and a natural problem-solver
- Bonus points for experience in real estate, commercial transactions, or marketing support
